1. What's Included
Accommodations
Phuket (7 Nights)
Accommodation at an exclusive private retreat villa near Nai Harn Beach
Choice of:
Private bedroom (limited availability and additional fee)
Shared bedroom
Bangkok (3 Nights)
Accommodation at a centrally located heritage home
All bedrooms in Bangkok are shared accommodations
Room assignments will be made prior to the retreat. Every effort will be made to accommodate roommate requests; however, the retreat organizer reserves the right to make final room assignments to ensure the best experience for all participants.
Meals
Continental breakfast each morning (fruit, pastries, tea, coffee, yogurt, cereal, etc.)

Personal expenses, shopping, souvenirs, snacks, and optional activities
Gratuities for guides, drivers, massage therapists, and restaurant staff
Airport transfers outside scheduled group transfer times
3. Travel & Medical Insurance (Required)
All participants must carry valid travel medical insurance for the duration of the retreat.
Insurance must provide coverage for:
Emergency medical care
Hospitalization
Emergency medical evacuation
Participants are strongly encouraged to purchase trip cancellation and interruption insurance.
Proof of insurance may be requested prior to departure.
4. Payment Schedule
Retreat Investment:
Regular Price: $3,295 CAD (Double Occupancy)
Early Bird Special: $3,095 CAD
Save $200 if registered between September 1st and November 1st, 2026
Private Room Upgrade (for the 7 nights in Phuket): +$350 CAD
(Limited availability)
A $1,500 CAD deposit is required to reserve your space.
$750 of the deposit is non-refundable.
The remaining balance is due July 10th, 2027 (120 days before the retreat begins).
Failure to make the final payment by the due date may result in cancellation of your reservation and forfeiture of payments made.
5. Refund & Cancellation Policy
Because accommodations, transportation, and local services are reserved well in advance, the following cancellation policy applies:
$750 of the initial deposit is non-refundable under all circumstances.
Cancellations received on or before July 10, 2027 may receive a refund of payments made, less the $750 non-refundable deposit.
Cancellations after July 10, 2027 are non-refundable.
No refunds will be provided for late arrival, early departure, missed activities, or unused portions of the retreat.
Registrations may be transferred to another participant, subject to organizer approval, up to 30 days before the retreat begins.
Participants are strongly encouraged to purchase travel insurance that includes cancellation and interruption coverage.
6. Itinerary Changes
Every effort will be made to follow the published itinerary.
However, activities, accommodations, restaurants, transportation, or excursion providers may occasionally need to change due to weather, local conditions, safety considerations, operating schedules, or circumstances beyond the organizer's control.
Reasonable substitutions of equal quality may be made without refund.
7. Participant Responsibility & Assumption of Risk
Participants acknowledge that this retreat includes yoga, walking, boat travel, swimming, wildlife encounters, outdoor activities, international travel, and possibly cycling, all of which involve inherent risks.
Participants voluntarily assume responsibility for their own health, safety, and personal belongings throughout the retreat.
Yoga and wellness activities are offered for general health and well-being and are not intended to replace medical advice or treatment.
Participants agree to participate only to the extent they feel comfortable and physically able.
8. Medical Care & Emergencies
In the event of illness or injury, participants authorize the retreat organizer to arrange appropriate emergency medical care if necessary.
Participants accept full financial responsibility for any medical treatment received.
9. Release of Liability
Participants agree to release and hold harmless Carolyn Weatherson, retreat staff, contractors, guides, accommodation providers, transportation providers, and activity operators from any claims, liability, injury, loss, damage, accident, illness, delay, or expense arising from participation in the retreat, except where prohibited by law.
A signed Release of Liability and Assumption of Risk Waiver is required before participation.
10. Photography & Video
During the retreat, photographs and video may be taken for future promotional purposes.
Participants who prefer not to appear in promotional materials should notify the retreat organizer in writing before the retreat begins, and every reasonable effort will be made to respect their wishes.
11. Force Majeure
The retreat organizer is not responsible for delays, itinerary changes, cancellations, losses, or additional expenses resulting from events beyond their reasonable control, including but not limited to:
Severe weather
Natural disasters
Government actions or travel advisories
Airline delays or cancellations
Political unrest
Public health emergencies
Transportation disruptions
Supplier cancellations
No refunds will be provided for circumstances beyond the organizer's control.
12. Agreement
By registering for the Thailand Wellness & Culture Retreat, participants acknowledge that they have read, understood, and agree to these Terms & Conditions.
Participants further acknowledge that they are physically and medically fit to participate in the activities included in the retreat and accept responsibility for their own travel arrangements, insurance coverage, and personal well-being throughout the journey.
